Directors’ Meeting
February 3, 2025 via Zoom

1. Meeting called to order at 4.01pm.
2. Motion to approve the Agenda.
Moved by Dave Reed, seconded by Doug Bolton. Carried.
3. Motion to approve the minutes of the January 6, 2025 Directors’ Meeting.
Moved by Roy Moore, seconded by Ian Syme. Carried.
4. Delegation. None.
5. Business Arising.
Community Survey.
Roy has forwarded the survey comments to the Directors in 4 documents: General Comments, Thieves Bay Marina, Privateers Park, Mouat Park.
There is a lot of good information here.
Action: Joanna Rogers will compile these comments into one summary. This will enable MLPOS to start formulating plans based on membership and community needs.
Looking for a Secretary.
Fiona Poole was elected as Secretary.
Meeting Place.
Action: Bob Coulson, Dave Reed, Art Curtis, Roy Moore and Doug Bolton will form a sub-committee to discuss options.
Mouat Park.
Motion that Bob Coulson write a letter to the Pender Islands Conservancy Association to see if they have any interest in having the ownership of Mouat Park transferred to them or taking over stewardship of the property from MLPOS in some other way.
Moved by Doug Bolton, seconded by Wally Foster. Carried.
6. Governance.
The AGM Governance Motion is on the table at the CRD and should be up for discussion soon.
BC Hydro Update. Nothing to report.
Islands Trust Increased DPA Area.
Motion that Bob Coulson write a letter to the MLPOS membership informing them of the proposed increase in the DPA, the potential impacts this could have on many lots in Magic Lake Estates and including information on what a DPA is.
Moved by Wally Foster, seconded by Roy Moore. Carried.
A discussion on increasing membership in MLPOS followed.
7. Financial Report.
In Jean Deschene’s absence, the Directors viewed the reports prepared by Joanna Rogers and submitted to Jean for review.
8. Directors’ Reports.
Marina Report. Nothing to report.
Recreation/Tennis/Pickleball Report.
Art Curtis has the sign for Privateers Park and has purchased lumber for the frame. The lumber needs to dry out before the frame can be constructed.
Art Curtis and Dave Harrison met with a small parents group about the installation of the new playground equipment. There is a lot of interest from parents about this initiative and they expressed a desire to see this project progress.
A discussion about insurance coverage for volunteers followed. Our business liability policy does not provide coverage for bodily injury incurred by MLPOS volunteers.
Action: Doug Bolton will draft a waiver and will investigate potential coverage. Bob Coulson will include a question about volunteer accident insurance in his letter to PICA.
9. New Business.
Motion to delete the facebook profile and page of the Magic Lake Property Owners’ Society.
Moved by Doug Bolton, seconded by Dave Reed. Carried.
Meeting adjourned at 5.11pm.
Next meeting will be on March 3, 2025 in the Community Centre Lounge.
